Once I gave it to an employee in our other office -a few blocks away, she had to buy supplies so I gave it to her,for her order. My boss was really upset, trusts noone, and said I should have told this employee to have this company bill us.

The second time, today, a new employee at our office, went to a copy store to print flyers for us, called me from the store for the credit card # and I gave it to her over the phone when again I should have said, have the copy store send us a bill.

I didn't tell my boss, but told this worker to make sure to not leave the number around and she said she doesn't even have it, she wrote it down as I said it and gave it to the store owner.

Need advice-should I confess to my boss that I forgot and did it again or just say nothing, hope this new employee is honest and nothing happens? If I say something I could get fired, if I don't and something happens I could also get fired and I need my job-HELP!!!

Most places aren't so keen on sending a bill and want payment up front. I think you did the right thing if you wanted to get the product in a timely manner.

how does the boss expect these things to get paid ... and why would someone go to the store without first checking how to pay ... is it a business credit card or a personal credit card ... something needs to change ...

Why didn't you ask your boss this time? Is it because he refuses to allow petty office expenses?

You're saying that he has a business credit card but doesn't want it used???? That makes no sense. It's not like you're giving it out left, right, and centre. But even if you don't say anything, do you think he won't notice when the statement comes?

Your boss is having cash flow problems and wants his employees to negotiate terms with vendors rather than doing it himself. Unless handling such transactions is in someone's job description, it is unfair and inappropriate for your boss to leave various employees "holding the bag" when payment is due.

Send out a memo to everyone in the organization asking that they inform you ahead of time (make up a reasonable amount of time) before needing a credit card or other payment made to a vendor. If there's not one already, you can even make up a little internal form for them or you to fill out when a request is made.

As each request is made, ask your boss specifically how he wants to pay. If he says, "Have the company bill us," you should get on the phone immediately to the vendor to make sure this is an option. If the vendor balks, your boss is in the office and available to make the arrangements personally.

Note: I would not recommend asking your boss's permission to implement this system. He is likely to reject the idea. And why not? It's way more convenient to leave an embarrassed employee twisting in the wind! If he expresses unhappiness over the new system, explain that you don't want to use his credit card inappropriately and you want to make sure that spending is not running amok. It will be hard for him to argue with this logic.
